Frequently Asked Questions ADVERTISING The licensee shall provide the Center with written text of all advertising for events prior to release for broadcast or publication. Written consent by the Center is required for all advertising and use of the Center logo. See Center license agreement Article 20, Event Advertising AUDIO/VISUAL Most Center meeting and exhibit space has a distributed amplification system and a basic microphone included as a complimentary component of the rental cost. The licensee can choose to utilize the Center internal sound system or have a sound system installed in leased space by a private contractor. No microphone of any type may be patched into the Center's internal system unless provided by the Center. The Center does not provide A/V services or equipment other than audio. Licensee may contract with any A/V company to provideAudio/Visual services. BUSINESS CENTER The Center has an exclusive business center agent to provide services including copying, faxing, mailing, shipping, and printing. See Center license agreement, Article 19, Business Center DELIVERIES All deliveries must be received by a representative of the licensee during the event's Period of Utilization and should be addressed to the attention of: the event, event representative, specific event space, Baltimore Convention Center, 1 West Pratt Street, Baltimore, Maryland 21201. No deliveries of any type will be accepted by the Center for any event. FOOD/BEVERAGES The Center has an exclusive in-house caterer to provide food and beverage, concessions, and other services which includes coat check, novelty sales, souvenir sales, etc. No food or beverage sampling may be conducted by the licensee or its agents without prior written approval. See the Center license agreement Article 11, Catering and Concessions INSURANCE Licensee shall provide proof of event insurance 30 days prior to the event with language outlined in Article 10 of the Center license agreement. This insurance provision applies to events with over 100 attendees. LABOR NEEDS The Center does not employ personnel to move material from the loading dock area or any entrance to your rental space. It will be necessary for you to arrange for any labor needs you may have for this event. The Center does not provide, or have available for use, hand carts or dollies. MOVE-IN/MOVE-OUT Your rental space is only available during the date and time shown in the Period of Utilization section of your Center license agreement. PARKING No public parking is available at the Center. A list of area public parking facilities is available upon request. PLANNING All floor plans for exhibits and registration space are due to your account executive 30 days prior to publication and a minimum of 90 days prior to your event. All event scheduling specifics, final room set-ups, equipment needs, and A/V requirements are due to your account executive at least 30 prior to your event. MEETING ROOM SET-UP Standard arrangement of chairs, tables, and staging (used to provide a reasonable head table area) is provided at no additional charge. When meeting rooms are used for exhibit purposes, furnishings must be rented. Any subsequent changes from the original setup will be charged at the prevailing rates. SECURITY Based on the type of event licensee may be required to provide security personnel licensed in the state of Maryland. See Center license agreement Article 16, Security SIGNS/BANNERS Center approval is required before placing signs or banners in any area other that exhibit hall booth space. Show management rules shall apply to the signage of any interior booth space, and all signs must meet fire code provisions. Signage or banners can not be attached to any wall , pillar or vertical surfaces of the center. SPECIAL LIGHTING The Center has a labor agreement with the International Alliance of Theatrical Stage Employees, (IATSE) Local 19. Based upon licensee's theatrical stage or special lighting and rigging requirements for events IATSE labor may be required. Consult your sales representative or account executive with questions regarding applicability. TELECOMMUNICATIONS The Center has an exclusive telecommunications agent to provide services including telephone lines, data connections, internet access, teleconferencing, cable television, and cellular telephones. See Center license agreement, article 18, Telecommunications. UTILITIES The Center supplies utilities including electricity, compressed air, water, and drainage to all occupants of the facility. Charges for these services are based upon prevailing rates and can be obtained by contacting the Center utility services coordinator. See license agreement section Utilities
